2. Workshop Data & Tenant Isolation

We operate an enterprise multi-tenant software architecture with isolated, dedicated tenant databases. This guarantees that:

• Your customer profiles, vehicle service histories, job cards, inventory stock, and invoice records are stored in a dedicated, isolated database schema.
• No other workshop tenant can query or access your workshop records.
• We do not sell, rent, monetize, or publicly disclose your business records, vehicle histories, or customer contact details to third-party marketers or advertisers under any circumstances.

3. Google Drive™ API & User Data Policy

Our application features an optional Google Drive Cloud Backup feature allowing garage administrators to automatically archive workshop database backups directly to their own personal or corporate Google Drive storage.

4. Information We Collect

When you register for and operate CloudSoftPro Spare Parts, we may collect:

• Account & Workshop Details: Workshop trade name, business registration / GST number, manager name, contact email address, telephone numbers, and branch addresses.
• Operational Records: Vehicle plate numbers, VIN / chassis numbers, customer contact information, technician assignments, repair estimates, and invoices entered by your personnel.
• System & Security Logs: Login timestamps, IP addresses, browser agent headers, and audit trails to prevent fraud and protect your account from unauthorized intrusions.

5. Third-Party Integrations

To deliver workshop automation, CloudSoftPro Spare Parts may interact with selected third-party enterprise providers:

• WhatsApp Messaging Gateway: For sending customer job card approvals, repair status updates, and digital tax invoices upon your trigger.
• Google reCAPTCHA: To protect public forms and user authentication endpoints against automated bots and brute-force threats.
• Payment Gateways: When paying for software subscription plans, payment processing is performed securely through PCI-DSS compliant payment gateways. We never store raw credit/debit card numbers on our servers.

6. Data Security and Encryption

All transmissions between your web browser and our application are encrypted using industry-standard Transport Layer Security (TLS 1.2 / TLS 1.3 with HTTPS). Database snapshots and cloud backups are compressed and password-protected to ensure end-to-end data integrity.

7. Mobile Application (Android) Permissions & Data Safety Disclosures

The CloudSoftPro Mobile App accessed by workshop owners, service advisors, inventory managers, and technicians requests the following hardware capabilities strictly for core automotive garage workflows:

• Camera (android.permission.CAMERA): Strictly used for:
  • AI Inventory & Barcode Scanning: Scanning spare parts barcodes, QR codes, and packaging labels using AI to automatically populate part numbers and inventory records.
  • Vehicle Intake & Customer Profiles: Capturing vehicle exterior photos, number plates (AI plate recognition), and customer registration documents.
  • Vehicle Complaint & Damage Inspection: Documenting pre-existing scratches, dents, and customer-reported complaints directly on digital Job Cards.
  The camera is never accessed in the background or for any purpose unrelated to active workshop actions.
• Location Access (ACCESS_FINE_LOCATION, ACCESS_COARSE_LOCATION): Used solely for Staff Geo-Attendance Verification (verifying that workshop technicians and employees are physically within the garage premises when clocking in or out). Location coordinates are retrieved ONLY during explicit user-initiated attendance actions and are NEVER tracked in the background or shared with third parties.
• Biometric Authentication (USE_BIOMETRIC, USE_FINGERPRINT): Used solely on-device to provide fast, secure fingerprint unlock to your workshop dashboard. Biometric credentials are authenticated locally by the Android operating system, never leave your mobile device, and are never transmitted to our servers.
• Push Notifications (POST_NOTIFICATIONS): Used to deliver real-time operational alerts, including newly assigned job cards, job status updates, invoice generation confirmations, and service reminders.
• Storage & Document Generation: Used to generate, preview, print, and download PDF Tax Invoices, Quotations, Job Cards, and Vehicle Inspection Sheets locally on your device or share with clients via WhatsApp.
• Zero Access to Sensitive Call Logs, Phone State, or Personal Contacts: The CloudSoftPro mobile app does NOT request, monitor, or access your device's Call History (READ_CALL_LOG), Phone State (READ_PHONE_STATE), Direct Calling (CALL_PHONE), or Personal Address Book contacts. When calling a customer, the app opens the standard system dialer keypad via tel: URL with the customer's workshop phone number pre-filled, giving the user complete control.

8. Data Retention and Account Deletion

You retain complete ownership of your workshop data. You may download complete SQL / CSV database exports at any time. Upon verified cancellation or account termination request, your private tenant database and cached application files will be permanently purged in accordance with our data sanitization protocols.

9. Children's Privacy

CloudSoftPro is strictly an enterprise business-to-business (B2B) automotive workshop software solution designed for professional garage operators and authorized adult employees. We do not knowingly collect, solicit, or store personal information from children under the age of 13 (or under 18 where applicable by local law).

10. Changes to this Privacy Policy

We reserve the right to update this Privacy Policy from time to time. When updates occur, the "Effective Date" at the top of this document will be modified. Continued use of the platform constitutes acceptance of the revised terms.
